5. PROJECT HOMELESS CONNECT – Cindy Pasco

ii. Event will be at Deschutes County Fairgrounds Event Center.
1. Date: October 13, 2007.
2. Goal is 1500 guests.
3. Bruce Abernethy will be there all day and other Mayors are on board and will speak to guests at event.
iii. Things learned at Portland PHC
1. Need bigger bags
2. Keep real changes in mind.
3. Make services happen – change lives!
4. Attendance decreased from previous year because needs were met.

iv. TEAM UPDATES – See handout for team definitions and activities – Cindy has updated Kevin for list of teams on the website.

1. PHC Management Team - Cindy Pasco, Suzy Reininger, Liz Hitt, and John Livingston.
a. A copy machine will be available at the event
b. There will be a copy machine available.
c. Please set up areas on Friday night. There will be no time for set-up on Saturday.
d. Tables will be set up and marked with your names.
e. Service areas will be color coded and marked with helium balloons.
f. Directors for areas will wear different colored vests or jackets.
g. Make sure to get signs high enough to be seen over people.

2. Survival Team - Heather Voris
a. There will be lotteries and give-aways for guests.
i. We have 40-50 Quilts to give away and lots of other goodies.
b. Focus on camping and hotel survival.

3. Child and Teen Enrichment Team - John Livingston, Paige (library), and Chuck Geschke
a. Separating needs into different areas.
b. Childcare will be available.
c. Teens need...
i. Resources for food, shelter, fun, etc.

4. Transportation Team - Janet Whitney, Jeff Munson
a. See flyer for areas covered.
b. Sisters, Crooked River Ranch, and Warm Springs are in the works.
c. Don’t give flyers to La Pine yet. – working out transportation issue for that area.
d. Capacity is to move 200 people at this point.
e. Some buses accommodate disabilities, some don’t.
f. The school districts and Mt. Bachelor say to ask next year for their help.

5. Personal Kits Team – Rebecca Nicholson, Susan Quatre
a. Need razors, diapers, etc.
b. Asking churches to make kits and bring them.

6. Personal Attention Team –Nichole Roberts, Loomis Goode
a. Hair cuts
b. Bike repair at satellite stations.
i. Drop their bike off when getting on the bus and have it repaired while they are at the event.
c. Veterinary services.
d. Working on getting acupuncture and massage services.

7. Medical Team - Racheal Egan Baker, Susan Quatre
a. Big shortage of volunteers because of liability issues.
b. Working on Ochoco Health Systems for 1 provider and 1 staff.
c. Volunteers in Medicine will provide information only.
d. Nurses will be available for basic first aid only.
e. St. Charles will have social workers there.
f. Deschutes County will provide services that they can such as immunization, Hepatitis tests, HIV tests, etc.

8. Housing Services Team – Lois Golden, Someone from NeighborImpact, Someone from Habitat for humanity.
a. Shelters, Transitional Housing, HomeOwnership, Home repair, etc.
b. Applications for Section 8 Vouchers.
i. Advocates will turn them in on Monday.

9. Fundraising Team - Liz Hitt, Dena Barker, and Rob Bryce
a. Fundraising is going great!
b. Please keep getting donations – the more that is left over, the more we can distribute for real services.
c. General donations are best so that we can put it where needed.

10. Finance and Budget Team – Dena Barker

11. Media, PR, and Marketing Team – Cindy Pasco, Kevin Barclay, and Renee Davidson
a. Newspaper editorials.
b. Article in the Bulletin.
c. Rachel has all media contact info.

12. Guest Services (Security, etc.) Team – Elliott from Pronghorn
a. Security is covered.
b. Interpreting is covered.
c.

13. Social Services Team – Karren Ruesing, Deborah Vanni, Angie Peeler.
a. 40 Agencies were contacted.
i. 20 said yes.
ii. 6 said no.
iii. 11 have not gotten back to us.
1. Management team got list of those 11 to call and follow up.
b. Social Security Administration will be there.
c. Working on DMV
i. Need to figure out logistics so they can work with us.
d. AARP was in Portland – can we get them?

14. Dental Team – Cindy Pasco
a. Will be by Medical and Mental Health services.
b. Dental Van will be parked in front of Event Center (2 chairs).
c. There will also be 2 chairs inside for Dental.
d. Education, appointments, x-rays, and oral cancer screenings will be available.
e. Emergency services will be provided.
f. Children will be a priority.

15. Volunteer Recruitment Team – Sheila Pyott, Jennie Hoffman, Sherry Galvez
a. Oregon Youth Challenge to volunteer on Event Day.
b. Team of 7 students from Lewis and Clark College.
c. There will be at least two trainings available for volunteers.
d. Everyone needs to fill out an application and send it to Sheila.
i. Use Word Application.
ii. Try to get applications in before training although we will take them up through the day of the event.
e. Need around 200-300 floating volunteers.

16. Music Team – Kevin Barclay, Nicki Mehta, Cindy Pasco, Corky Senecal

17. Logistics Team - Wayne Atchison

18. Food Team – Steve Murray, Marcella Edmonds, Fish?, Someone from T.E.C.
a. Will use mobile kitchen or concession kitchen or South Sister Kitchen
b. Hot or cold breakfast?
c. Hot Lunch – Need more help in this area.
d. Health department is aware of this event.
e. Julian is overloaded but his class will help where they can.
f. We need steam tables, etc.

19. Mental Health/Addictions Team – Linda Walker, Sarah Elliott, Chuck Hemingway.
a. Will be located on main floor next to medical services.
b. Serenity Lane, Best Care, AA, etc.
c. Working to get solid commitments from all three counties.
d. Women’s resource center will be there.
e. Loomis will have the “Celebrate Recovery” group contact Chuck Hemingway.

20. Outreach Team – Loomis Goode, John Livingston, Craig Jorgensen, Jim Gunn, Jennie Hoffman, Nicki Mehta, Suzy Reininger .

v. Please reach out to each other if you are feeling overwhelmed.
vi. We would like to see an HLC banner at the event.
vii. Please see www.utube.com for video clips of PHC “moments”.
viii. We need to:
1. Raise Awareness
2. Create a “buzz”
3. Ask friends and neighbors to contribute with small donations ($10-$20)
4. Project Professionalism and Enthusiasm to the community.
a. This will transform our community!
5. Work out the kinks for next year.
6. Make it so that volunteers want to come back for next year.
7. Send a report and thank you after the event to all involved.
8. Create awareness for the 10 year plan.
9. Individual teams need to pull agencies into the event and planning.
